Medacs wanted to improve the way that Invoices were delivered to it’s customer base. In particular, it needed to streamline the whole invoice management process and deliver a more responsive service to the business by providing rapid delivery of invoices and timesheets. This would also enable the company to improve it’s cash flow and reduce postage and stationery costs
After providing Medacs with timesheet scanning and invoice mailing services for its accounts receivable department and hosting the information on our OneView on-line document management system, Azets Document Solutions was asked to provide a bespoke solution that would be cost effective and meet the specific requirements.
After a detailed planning and scoping phase, Azets Document Solutions developed an e-billing module within the OneView application. This e-billing module provides an effective way of distributing invoice information. It eliminates the reliance on the postal service and delivers invoices and timesheets electronically, securely and instantly.
Medacs customers can enrol for e-billing either through delivery of a PDF e-bill or securely logging into the One View Portal with a username and password to view their invoices.
Medacs staff can view customer’s transactions and see when invoices have been viewed. The service includes XML delivery of invoice content, allowing financial data to be directly imported into the client ERP systems.
OneView is now the main data repository for the e-billing, storage, and retrieval of documents. The system is linked to the Azets Document Solutions print and mail service, allowing easy migration from print to e-bills. It uses highly secure, mirrored web servers situated at two separate locations to provide the highest levels of service resilience and security enabling all regulatory and corporate guidelines to be met. Azets Document Solutions provided bespoke, branded screens for each AR Team member enabling staff to quickly locate documents using a range of criteria including invoice number, date and timesheet reference. Documents can be viewed, printed and emailed.
