Euro Car Parts wanted to improve the processing of around 10,000 statements that were generated each month including the printing, mailing and hosting of all data. Although these functions were currently outsourced, the company wanted to reduce the incidence of lost or missing data and have rapid online access to all scanned documents from any location around the clock. Subsequently, Euro Car Parts also needed to upgrade the way that purchase invoices were processed and provide major customers with instant, online access to proof of delivery notes (PODs).

Euro Car Parts initially asked Azets Document Solutions to deploy a solution to improve the processing of statements. The project started on a small scale with around 10,000 statements processed each month. Each statement is scanned and uploaded to Azets Document Solutions OneView portal prior to being printed and mailed.
This powerful online solution enables staff, using standard web browsers, to rapidly locate documents using a flexible range of search criteria including account, invoice number, date, value and line items. This has eliminated the need for time consuming manual searches for original documents, increased accuracy and provided greater auditability over the whole workflow process.
The success of the first phase encouraged Euro Car Parts to extend the project to handle the processing of more than 300,000 purchase invoices and PODs each year. All documents are scanned and uploaded to the OneView servers with an overnight feed directly into the Kerridge-based accounts system used by Euro Car Parts. Azets Document Solutions also provides an additional checking service to ensure that duplicate invoices are not processed for payment.
It uses bespoke software that automatically compares captured data with documents stored on the OneView server ensuring that duplicates are excluded from the data feed sent to the accounting system.
This solution played an instrumental role in helping Euro Car Parts to win a major contract with one of the UK’s leading fast fit and automotive parts replacement companies.
